XBert Workflow Review

One command to audit your entire workflow setup — template consolidation, budget accuracy, and team workload in a Word document.

Updated 23 Jul 20261 skill1 commandby XBert Intelligence

As firms grow, their XBert workflow setup accumulates debt — duplicate templates created for slight budget variations, orphaned schedules assigned to staff who've left, zombie notifications that fire but never complete. The mess is invisible until someone audits it, and nobody has time to audit it manually.

XBert Workflow Review runs the entire structural audit in one pass. It pulls a point-in-time extract of your workflow configuration via MCP, runs six deterministic analyses (no LLM judgment in the numbers), and produces a Word document you can circulate inside the firm without editing. The document names specific templates, specific users, and specific processes — not generic advice.

Output lands as a working paper in your project folder — review it before anything goes to a client.

What you can do with it

4 use cases

Template library cleanup

Identify which templates are variants of the same base process and can be collapsed — often reducing library size by 30-50%.

Budget vs reality check

Surface templates where budgeted time is materially out of step with actual time logged, ranked by annualised hours of impact on your capacity plan.

Workload balance review

See who is actually doing the work — flag concentration risk where one person holds a disproportionate share of team time.

Setup hygiene sweep

Catch orphaned assignments, zombie schedules, stale templates, and duplicate names before they cause real problems.

How it changes your work

What XBert users actually get back when they bring this into their practice.

Full structural audit

Six analytical sections covering snapshot, usage reality, consolidation, budget accuracy, health flags, and prioritised recommendations.

Ready-to-circulate document

Produces a Word document with a title block, executive summary and named findings — designed to be read by anyone from a workflow specialist to a practice owner.

Deterministic, not opinionated

Every number is computed from your data. Confidence labels (Direct, Likely, Needs review) signal where the data speaks for itself vs where human judgment is required.

How it works

The flow from start to finish — under your control at every step.

  1. Type /workflow-review in Claude Code or Claude Desktop

  2. Plugin pulls the workflow extract from your connected XBert tenant via MCP

  3. Six section analyses run deterministically — snapshot, usage, consolidation, budget, health, recommendations

  4. Build the working-paper payload, render via xbert-working-paper:render-docx, and report the saved path

  5. Ask follow-up questions about any finding directly in chat

Prerequisites

  • XBert account with workflow configured
  • At least one active client with schedules
  • XBert Working Paper, the companion render plugin that writes the Word document — install it from this same catalogue (it needs Python 3.10+)
